Los Ranchos PTA Meeting

September 22, 2009

In Attendance:

1:33 pm        The meeting was called to order by Laura Albers, President.

 

Prior Meeting minutes from the June 2, 2009 meeting were previously approved at an August 14, 2009 Board Meeting

 

Treasurer’s Report:

Linda Speirs explained the Check and Deposit Registers with explanations of various disbursements and deposits from mid June through the current period.  Joyce M. motioned to approve the deposits and disbursements as listed in the registers, and Tami R. seconded the motion.  They were approved.

 

New Business:

Laura discussed the proposed 2009-2010 Budget.  Some expenditures in the budget will be revisited at the November meeting if the Walkathon receipts are greater than budgeted.  Expenses were discussed line item by line item.  School folders (blue/white tri folders) will be placed on the March agenda to discuss the need for next year.  There is push by parents and teachers to recycle these folders.  As donations were discussed, members suggested requesting sand donations for the kinder playground in the Roadrunner.  Some Non-Fundraising Items were discussed, such as the New Los Ranchos T-Shirts that will be coming may help to make a small profit on each t-shirt sold and future Village Host family dinner nights where they give a percentage back to our school.  Laura requested that anyone with ideas, please email her to discuss.

Mary T. motioned to approve the 2009-2010 Budget as proposed, and Linda S. seconded the motion.  The budget was approved.

 

Kelli discussed the new Committee Budget Form.  This form will be given to each committee head to establish their budget for the year with the goal that the PTA will not incur or reimburse additional expenses above the approved budgeted number.

 

Escrip Account was discussed, with thoughts of moving these receipts to grades 4, 5, 6 in lieu of the 6th grade only as it has been for the past years.  Linda S. motioned to move the receipts to cover field trips for grades 4, 5 and 6 and Kelli Cole seconded the motion. Mrs. Gooden suggested amending the motion to cover all grade field trips so that all classes benefit.  The motion was amended by Linda S. and seconded by Joyce M.  The motion passed.  Linda will make modifications to the account structure.

Leslie Colvin was asked at a previous meeting to research a new paper cutter for the PTA room.  Leslie is still working on that and was unavailable for comment.

 

Discussion on the PTA computer station took place.  PTA would like to set up a folder for each committee and Mrs. Gooden suggested saving to the P: Drive as this is what is backed up in case the computer were to fail at some point.  In addition, there was a request for a Log for users to sign in and Laura will prepare instructions for committee heads and members to utilize as necessary.

 

Committee Chair Reports

 

Fall Family Dinner was discussed by Kelli Cole.  She currently had 22 families attending.  The deadline is Sept. 25 with one more opportunity to purchase tickets the following week.

Assemblies were discussed by Joyce Miklikk.  She requested ideas to be forwarded to her.

Book Faire is still in need of 6th grade parents to chair the event.

Walkathon was discussed by Gail Marcum.  Class banners are short in only two classes, a few t-shirt spots were still available, no jamba juice will be served this year and Joyce Miklik offered to donate 400+ popsicles for all participants and teachers.

Community Outreach was touched on by Laura A.  This is a new program headed up by Scott and Daisy Thorsov with a theme of “Go Green”.

 

There was no Old Business.

 

Mrs. Gooden said the year was off to a great start and was happy to see the kids back.  In addition, she noted the great Star Scores that had been reported.

 

Mr. Becker briefly discussed the Outdoor School request for money effort is on-going and Mrs. Will thanked the PTA for the new tricycles on the kinder playground.

 

Final Remarks by Linda Speirs were in regards to a donation for the Principal’s sole use.  Linda motioned to set this up as a prepaid account on the balance sheet and Mrs. Gooden will utilize the funds as she needs to.  Kelli seconded the motion and all approved.
